Job Description

 

Position: HR Administrator

Reporting to: HR Operations Manager

 

Key Relationships:

 

*         Director of HR

*         HR Operations Manager

*         HR Consultants

*         EDI & Training Manager

*         Payroll Officer

*         Department Managers

Key Responsibilities: 

*         Serve as the primary point of contact for general HR inquiries from employees and managers, including FAQs, employment verifications, salary letters, and Social Welfare documentation.

*         Provide end-to-end administrative support throughout the recruitment process, from job posting to onboarding.

*         Draft and issue employment contracts, offer letters, and official HR correspondence in accordance with company policies and compliance standards.

*         Maintain accurate and confidential HR records (both digital and physical), ensuring full compliance with GDPR and data protection regulations.

*         Manage the Garda Vetting process, including issuing invitations, tracking documentation, and ensuring timely completion.

*         Update and maintain the HRIS (HR Core) system with employee data, leave applications, and contract changes, ensuring accuracy and confidentiality.

*         Process HR-related invoices and purchase orders using Sun accounting software, ensuring timely payments and accurate financial records.

*         Coordinate and support internal and external HR events, including employee wellbeing initiatives, diversity programs, and team-building activities.

*         Contribute to annual HR reporting and manage key cyclical activities such as contract renewals, onboarding cycles, and compliance checks.

*         Perform general HR administrative duties and respond to ad hoc requests as needed to support smooth HR operations.

Key Competencies Required:

 

Technical Skills & Knowledge:

 

*         Proficiency in Microsoft Office, especially Excel.

*         Familiarity with HRIS systems (preferably CoreHR).

*         Experience with finance systems (e.g., Sun) is an advantage.

*         Knowledge of GDPR and data protection principles.

*         Comfortable working with data and generating basic reports.

Desirable Experience

 

Experience working with or knowledge of CoreHR is an advantage

 

Essential Experience

 

*         1–2 years minimum experience in a similar HR administrative or support role.

*         Prior HR experience.

 

Qualifications

*         CIPD qualification or another relevant HR qualification.

 

Contract: Permanent 

Salary: €31,059 - €43,485 (Administrator Salary Band) 

Annual Leave: 24 days per annum pro rata 

Hours: Full time - 35 hours per week
